Position Summary

The HMIS & Technology Support Manager serves as the organization’s primary resource for the Homeless Management Information System (HMIS/COHMIS), data quality, operational reporting, and day-to-day staff technology support. This hands-on position helps ensure accurate and timely information for program operations, leadership decisions, funder reporting, and applicable compliance requirements. The role also coordinates routine computer, printer, account-access, and Microsoft 365 support, working with outside IT providers on more complex issues. This is an operational data and technology support role—not a software engineering, programming, or advanced network infrastructure position.

HMIS Administration, Data Quality & Compliance

  • Administer and support staff use of HMIS/COHMIS, including user access requests, permissions coordination, routine troubleshooting, and workflow guidance.

  • Monitor data accuracy, completeness, timeliness, and consistency; identify errors and work with program teams to correct them.

  • Support compliance with applicable HUD, Continuum of Care, coordinated entry, funder, confidentiality, and HMIS reporting requirements.

  • Train and assist case managers, intake staff, peer support staff, and program leaders on data entry standards, reporting processes, and proper handling of sensitive client information.

Reporting, Analysis & Performance Tracking

  • Prepare recurring and ad hoc HMIS reports, dashboards, and key performance indicators for leadership, funders, and community partners.

  • Track shelter and day-center utilization, guest progression, housing outcomes, service engagement, and other program measures.

  • Analyze trends, verify report accuracy, explain findings clearly, and help departments use results to improve services and operational decisions.

Technology Support & IT Coordination

  • Set up and provide basic troubleshooting for staff computers, printers, and shared devices; coordinate repairs and replacements as needed.

  • Assist with Microsoft 365 tools, including Outlook, Teams, SharePoint, and OneDrive; coordinate email account creation and access changes through authorized administrators or IT vendors.

  • Coordinate employee onboarding/offboarding technology needs, equipment assignment, user-access requests, and permissions reviews.

  • Help staff resolve routine connectivity, Wi-Fi, and VoIP phone issues; escalate network, cybersecurity, server, and advanced technical matters to the designated IT provider.

  • Maintain basic technology inventory, support documentation, troubleshooting guides, and relevant standard operating procedures.

Operational Systems & Program Support

  • Help improve practical workflows and existing tools for shelter/day-center intake, meal services, hygiene, laundry, incident reporting, staff activity tracking, and inventory or asset management.

  • Create or maintain straightforward forms, spreadsheets, trackers, and standardized procedures; coordinate more complex system changes with appropriate vendors.

  • Partner with program leaders and frontline staff to support new services, troubleshoot process gaps, and align data and technology tools with daily operations.

Qualifications & Skills

  • Experience using HMIS/COHMIS or a comparable social-services, housing, or case-management information system strongly preferred.

  • Experience producing reports, managing data quality, and working with Microsoft Excel and Microsoft 365 required.

  • Comfortable providing basic hands-on computer and printer support and communicating with external IT providers; advanced engineering or programming skills are not required.

  • Strong attention to detail, confidentiality, customer service, organization, problem-solving, and ability to train nontechnical staff.

  • Experience in homeless services, housing, nonprofit programs, or community services preferred.

The Successful Candidate:

  • Mission-driven with a commitment to improving outcomes for individuals experiencing homelessness

  • Strong systems thinker who can design practical, scalable workflows

  • Able to translate data into clear, actionable insights for diverse audiences

  • Hands-on problem solver comfortable with both technical and operational challenges

  • Collaborative and approachable, with the ability to build trust across frontline and leadership teams

  • Detail-oriented, ensuring data accuracy, compliance, and strong documentation

  • Adaptable and resourceful in a fast-paced, evolving nonprofit environment
